Privacy Policy – LEAF LIFE App

• Free & educational: LEAF LIFE is a free app created within an Erasmus+ project to help you learn and practice sustainability in daily life.
• What we collect: Basic profile info (like email, age, habits for footprint calculation) and app usage data.
• What we don’t collect: We do not track your exact location, sell your data, or use it for unrelated marketing.
• Where your data goes: Your information is stored securely on servers in Spain (EU), managed by AIJU, and is only accessible to the project partners (ESTÜ, COFAC, AIJU).
• Why we use it: To calculate your carbon footprint, give you daily tips, quizzes, and personalized challenges, and to improve the app.
• Your rights: You can see, change, or delete your data at any time. You can also request its transfer, limit how we use it, or ask us to stop processing it.

Introduction

This Privacy Policy applies to the LEAF LIFE mobile application (“Application”), developed by the LEAF Project Consortium. The Application was created as part of the Erasmus+ funded project Lifelong Learning for Sustainability: From Campus to Daily Life (LEAF).

The sole responsibility for this Application lies with the project consortium. The European Union is not responsible for any use that may be made of the information contained in the Application.

This Privacy Policy explains in clear terms how we collect, use, store, and protect your personal information, in line with GDPR, KVKK, and other applicable data protection laws.

The Application is provided free of charge by Eskişehir Technical University (Türkiye) in cooperation with AIJU (Spain) and COFAC (Portugal). For data management, AIJU (Spain) is responsible for hosting and coordination of the Application.

By downloading or using the Application, you acknowledge and agree to the practices described in this Privacy Policy.

1. Information We Collect and Use

The LEAF LIFE App may collect and process the following categories of personal data:

a) User-provided data

• Name, surname, and email address
• Profile information such as age and basic demographic details
• Sustainability-related lifestyle indicators voluntarily shared for carbon footprint calculations

b) Automatically collected data

• Device information (device type, operating system version)
• IP address
• App interaction data (features used, date/time of access, session duration)

c) Voluntary inputs for carbon footprint calculation

Information you choose to provide about your transportation habits, energy consumption, eating habits, and waste management practices.

These inputs are used exclusively to generate sustainability-related insights for your personal use and for aggregated, anonymised reporting.

2. Data Storage and Transfers

All personal data are stored on secure servers of AIJU (Spain). Access is limited to authorised partners (ESTÜ, COFAC, AIJU). Personal data will never be sold or shared with third parties for unrelated purposes.

Security measures include:

• Technical: secure servers, encrypted data, firewalls, restricted access
• Organisational: authorised personnel, confidentiality agreements, internal data procedures

3. Legal Basis for Processing

Processing is based on:

• GDPR Article 6(1)(a) & KVKK Article 5/1 – explicit consent
• GDPR Article 6(1)(c) – legal obligations
• GDPR Article 6(1)(f) – legitimate interests (improving functionality & security)

Consent may be withdrawn at any time without affecting lawfulness of prior processing.

4. Data Retention

• During the project lifetime
• Up to 3 years after completion, unless required otherwise by law
• Earlier deletion if requested, unless retention is legally required

5. Children’s Privacy

The app is not directed to children under 13. In the EU, users must be 16+ (or local lower limit, never under 13). Parental consent is required for minors. Data collected without consent will be deleted promptly.

6. Your Rights (GDPR & KVKK)

• Access, rectification, erasure
• Restrict or object to processing
• Data portability
• Withdraw consent anytime
• Lodge a complaint with a supervisory authority

7. Security

We apply technical and organisational measures to protect your data, including encryption, restricted access, and staff agreements.

8. Changes to This Privacy Policy

Updates may occur due to law, project needs, or technical improvements. Notifications will be given via the app. Continued use means acceptance of revised terms.

This declaration has been prepared within the scope of the project:

By accepting this declaration, I hereby give my explicit consent for the processing of my personal data within the LEAF LIFE mobile application. This includes:

• Collection of personal data (such as name, email, profile information, and sustainability-related lifestyle indicators voluntarily provided by me).
• Storage of my personal data on secure servers located in Spain, under the responsibility of AIJU (Instituto Tecnológico de Producto Infantil y Ocio).
• Access to my personal data only by authorised project partners: Eskişehir Technical University (Türkiye), COFAC (Portugal), and AIJU (Spain).
• Processing and use of my personal data solely for the purposes of the LEAF Project, namely for educational, research, and sustainability awareness activities.

My personal data will be processed in compliance with the General Data Protection Regulation (GDPR – Regulation (EU) 2016/679), the Turkish Personal Data Protection Law (KVKK – Law No. 6698), and other applicable legislation.

I understand that:

• My consent is voluntary and can be withdrawn at any time by contacting [email protected].
• Withdrawing my consent will not affect the lawfulness of data processing carried out before the withdrawal.
• I may exercise my rights of access, rectification, erasure, portability, restriction, or objection as provided under GDPR and KVKK.
